We are looking for a detail-oriented, organized Event Coordinator to support the planning, coordination, and execution of Mustang Week and future POWER automotive events. This is a hands-on coordination role focused on keeping event logistics organized, timelines updated, vendors and partners informed, and critical details handled at a high level.
As Event Coordinator, you’ll support event operations by maintaining project timelines, coordinating with vendors and venues, managing ticketing and registration workflows, assisting with merch logistics, and helping ensure POWER delivers a high-quality experience for attendees, sponsors, partners, and the automotive community.
This role is ideal for someone who loves live events, has a connection to the automotive enthusiast world, and takes pride in staying organized, following through on details, and keeping complex event plans moving forward.
Responsibilities
- Coordinate event logistics across venues, vendors, contractors, activations, and internal teams to keep planning and execution on schedule.
- Maintain and update event timelines, checklists, schedules, and task trackers, flagging issues and ensuring deadlines and deliverables stay on track.
- Support ticketing and registration workflows, including event setup, attendee check-in, credentials, waivers, reporting, and troubleshooting.
- Coordinate vendor space assignments, sponsor activation logistics, and communication with event partners before and during events.
- Assist with merch logistics and event retail operations, including product coordination, booth setup, inventory tracking, and post-event reconciliation.
- Support on-site event execution, including setup, live event operations, issue resolution, and teardown, helping deliver a strong attendee and partner experience.
Minimum Qualifications
- 1–3 years of experience in event coordination, event operations, live event production, or a similar role.
- Strong organizational skills with the ability to manage timelines, checklists, deadlines, and multiple moving pieces at once.
- Technically savvy and comfortable working in a digital-first environment using tools such as Asana, Slack, Google Docs, Google Sheets, AI tools, and other project management or collaboration platforms.
- Clear and proactive communicator who can follow up with vendors, contractors, partners, and internal team members.
- Comfortable working hands-on during live events, including setup, operations, troubleshooting, and teardown.
- Ability to stay calm under pressure, adapt quickly, and solve problems in a fast-paced event environment.
- Travel and extended hours will be required during event weeks, and may increase as POWER’s event portfolio grows.
Preferred Qualifications
- Experience working in automotive, motorsports, enthusiast events, car shows, festivals, trade shows, or live brand activations.
- Familiarity with the automotive aftermarket, automotive performance industry, or broader car culture.
- Experience with ticketing, registration, credentialing, waivers, attendee check-in, or event management platforms.
- Experience supporting merch programs, including product ordering, inventory tracking, event retail, booth operations, or post-event reconciliation.
- Background coordinating with sponsors, vendors, exhibitors, influencers, car clubs, racers, or community partners.
- Experience supporting event marketing, social media coordination, promotional campaigns, content needs, or sponsor-related deliverables.
Job Details
This is a full-time position either based in Temecula, California, or flexible hybrid or remote opportunities for high-performing candidates. We determine compensation by looking at market benchmarks and taking into account the role, background, skills, and experience.
Compensation: $42,000 – $55,000 annually ($20.19 to $26.44 per hour)
Actual compensation will vary based on experience and skill level.
